This Sector is looking for a talented professional to complement their team, in the form of a Document Controller

Job Summary:

GIBB requires a Document Controller to manage the flow of documents within the organization, ensuring that all documents are properly filed, tracked, and distributed to the relevant parties.

You will also be required to provide full administrative and office support functions to the Leaders and Technical staff as required and ensure all administrative functions comply with the GIBB QMS

Key Responsibilities:

  • Maintaining an up-to-date record of all documents, including technical specifications, drawings, contracts, and correspondence.
  • Ensuring that all documents are filed and stored in accordance with the company's document control procedures.
  • Managing the document review and approval process, ensuring that all documents are reviewed and approved by the relevant parties before they are released.
  • Distributing documents to the appropriate parties in a timely and efficient manner.
  • Monitoring document revisions and ensuring that all parties have access to the most recent version of a document.
  • Managing the document retention and disposal process, ensuring that all documents are disposed of in accordance with company policies and legal requirements.
  • Conducting regular audits of the document control system to ensure compliance with company policies and procedures.
  • Providing support to project teams and other departments as required.
  • Ensuring that all documents are prepared and processed in accordance with project requirements and contractual obligations.
  • Maintaining confidentiality of sensitive and confidential information.

Qualifications and Experience

  • A relevant degree or certification in document control or a related field is advantageous. Must provide Certificate and transcripts.
  • Experience within the Built Environment
  • Matric. Must provide Certificate with results
  • 4 – 9 years’ Document Control experience

Core Competencies/Requirements

  • Strong organizational and communication skills, attention to detail, and the ability to work under pressure
  • Must be able to work independently
  • Be familiar with document management systems and software, and have a good understanding of industry-specific documentation requirements
  • Must be able to guide and lead supporting staff
  • Must have MS Office experience
